How to Plan a School Fall Festival: The Complete Atlanta School Event Checklist

Planning a school Fall Festival can be one of the most exciting events of the year—but if you're the parent, PTA/PTO member or staff member responsible for organizing it, you probably already know there are a lot of moving pieces.

How many attractions do you need? What works for different ages? Where will everything go? Do you have enough power? Who will supervise the activities? What happens if it rains?

The good news is that you don't have to figure everything out at once.

Whether you're planning a small elementary-school celebration or a large Fall Festival with hundreds of students and families, this checklist will help you work through the big decisions before event day.

1. Start With the Basics

Before requesting quotes from vendors, gather a few important details about your event.

You'll want to know:

• Event date and hours
• School or event location
• Estimated attendance
• Ages or grade levels attending
• Approximate entertainment budget
• Indoor or outdoor location
• Available setup space
• Whether electricity is available
• Whether you plan to use parent volunteers or paid attendants
• Your school's insurance and vendor requirements

You don't have to have every detail finalized before contacting a rental company.

In fact, an experienced event-rental company can often help you determine what will work based on your attendance, age groups, available space and budget.

2. Plan for Different Age Groups

One of the biggest mistakes when planning a school Fall Festival is choosing all of the entertainment for one age group.

A kindergarten student and an eighth grader probably aren't going to get excited about the same attraction.

For elementary schools, a combination of traditional inflatables, inflatable slides, obstacle courses and age-appropriate interactive activities can work well.

For events with older elementary or middle-school students, consider adding more competitive attractions.

Obstacle courses, sports challenges, interactive games and other head-to-head activities give older students something to do besides standing around with their friends.

If your event includes siblings, remember that you may have toddlers, teenagers and adults attending too.

The goal isn't necessarily to find one attraction everyone loves. It's to create a mix that gives everyone something to do.

3. Estimate Your Attendance

Guest count matters.

An inflatable that works beautifully for a birthday party with 25 children may not be enough entertainment for a school festival expecting 500 people.

For larger events, think about capacity and throughput.

How many participants can use an attraction at once?

How quickly can participants move through it?

Will one attraction develop a huge line while another sits empty?

Large obstacle courses and interactive attractions can be particularly helpful at high-attendance events because they're designed to keep participants moving.

When requesting recommendations, give your rental company your best estimate of attendance. It doesn't have to be exact.

4. Create an Entertainment Mix

You don't necessarily want five versions of the same activity.

A better Fall Festival layout might combine several different experiences.

For example:

Something to bounce: traditional inflatable or combination unit

Something to race: obstacle course

Something competitive: sports or interactive game

Something challenging: Mechanical Bull Rentals or a larger interactive attraction

Something classic: dunk tank or carnival-style games

This creates variety and can help spread guests throughout the event rather than concentrating everyone around one attraction.

For larger school events, it's also worth considering attractions that parents, teachers and older siblings can enjoy.

Nothing gets students gathered around quite like watching their principal, coach or favorite teacher take a turn at an attraction.

5. Set Your Budget Before Choosing Everything

It's easy to start scrolling through rental equipment and build your dream event before realizing you've exceeded the entertainment budget.

Instead, determine approximately how much your organization can spend first.

Then share that number with your rental company.

For example:

“We're expecting approximately 400 people, mostly elementary-school students, and have about $2,500 for entertainment.”

That's extremely useful information.

An experienced rental company can help you build a combination of attractions around the budget instead of sending you options that aren't realistic.

6. Measure Your Space

Pictures can be deceiving.

Inflatables—especially large obstacle courses and slides—can be significantly bigger in person than they appear online.

Before reserving equipment, determine where your attractions will be placed.

Consider:

Length and width — Will the inflatable physically fit?

Height — Are there trees, power lines, ceilings or other overhead obstacles?

Safety clearance — Equipment needs appropriate room around it.

Access — Can rental crews actually get the equipment to the setup location?

A huge field doesn't necessarily mean every spot on that field is usable.

Fences, gates, stairs, curbs, hills and long distances from the delivery vehicle can all affect setup.

7. Know Your Setup Surface

Tell your rental company what will be underneath the equipment.

Common school-event surfaces include:

• Grass
• Artificial turf
• Asphalt
• Concrete
• Indoor gym floors

Different surfaces can require different setup and anchoring methods.

Don't assume that because an inflatable fits somewhere, it can automatically be installed there.

It's much better to discuss the setup surface before event day.

8. Check Your Power

This one is easy to overlook.

Inflatables require blowers that run continuously while the equipment is being used.

Your rental company needs to know where electrical outlets are located and whether adequate circuits are available.

An outlet being nearby doesn't automatically mean there's enough available power for several inflatables.

Large events with multiple attractions may require several separate electrical circuits.

If sufficient power isn't available—or your festival is taking place on a large field away from the school building—you may need generators.

Figure this out before event day.

Nobody wants 500 students arriving while someone is searching for an extension cord.

9. Decide Who Will Monitor the Attractions

Every attraction needs appropriate supervision.

Depending on your event and rental company, you may use trained attendants, approved adult volunteers or a combination of both.

If you're relying on parent volunteers, organize the schedule ahead of time.

Don't wait until the festival begins and announce:

“Can somebody watch the obstacle course?”

Create shifts.

For example:

5:00–5:45
5:45–6:30
6:30–7:15
7:15–8:00

Shorter shifts can make it easier to recruit volunteers because nobody has to spend the entire Fall Festival working one attraction.

Also determine which attractions require professional attendants rather than volunteers.

10. Plan Your Layout Carefully

A good Fall Festival layout isn't just about making everything fit.

Think about traffic flow.

Avoid placing the most popular attractions directly beside entrances, food lines or other areas that are likely to become congested.

Leave room for lines without blocking walkways.

Spread major attractions throughout the event when possible.

Consider where generators, electrical cords and equipment will be located.

And don't forget about visibility.

Parents should be able to find their children, volunteers should be able to monitor activities effectively and emergency access should remain clear.

For larger events, creating a simple event map can be extremely helpful.

11. Ask About Delivery and Setup Timing

If your Fall Festival begins at 5:00 PM, that does not mean the delivery truck should arrive at 4:45.

Large events take time to set up.

Your rental company may also have multiple events being delivered that day.

Make sure the company knows:

• When the event begins
• When the school property becomes accessible
• Whether there are restricted delivery hours
• Whether buses, carpool or school dismissal will interfere with setup
• Who will be available to meet the delivery crew

School dismissal is particularly important.

A delivery truck trying to access a field at the same time hundreds of cars are entering for afternoon pickup isn't ideal.

Give your rental company as much flexibility as possible when arranging delivery.

12. Handle Insurance and School Paperwork Early

Schools frequently have vendor requirements that private backyard events don't.

Depending on the school or district, you may need things such as a Certificate of Insurance (COI), Hold Harmless Agreement, vendor paperwork or other documentation.

Find out what your school requires early.

Don't wait until the afternoon before the Fall Festival to discover that the district needs paperwork before a vendor can enter the property.

If your school needs special wording or an additional insured listed on a Certificate of Insurance, provide those requirements to the rental company as early as possible.

13. Have a Weather Plan

Fall weather in Georgia can be unpredictable.

Discuss your rental company's weather policy before your event.

Know what happens in the event of:

• Rain
• Thunderstorms
• Lightning
• High winds
• Unsafe ground conditions

If your school has a rain date, tell your rental company when booking.

A rain date should not automatically be assumed to be reserved, so ask whether equipment availability would need to be confirmed if your event moves.

If you have an indoor backup plan, determine which attractions could realistically be moved indoors and whether the gym or indoor space has sufficient dimensions and power.

14. Book Popular Fall Dates Early

October is one of the busiest times of year for school festivals, church festivals, community events and Fall celebrations throughout Metro Atlanta.

That means popular equipment and prime Friday/Saturday dates can book well in advance.

If your school has already selected its Fall Festival date, begin planning entertainment as early as possible.

You can always refine the details later.

Waiting until everything else is finalized may leave you with fewer entertainment options.
