Space Requirements

Define layout before booking vendors.

Confirm total square footage, clearance around inflatables or equipment, surface type (grass, turf, asphalt, concrete), and crowd flow including ADA access. Late layout changes create capacity loss or force vendor swaps — neither is a problem you want to solve the week of your event in San Rafael or Novato.

Power, Access, Permits

Verify infrastructure early.

Confirm power sources or generator needs, load-in and load-out access, vehicle clearance, and setup windows. Secure all required permits, insurance certificates, and facility or city approvals in advance. Vendor Coordination

Sequence vendors, not just book them.

Assign one primary vendor to anchor the timeline. Document space and power dependencies for secondary vendors. Name a single on-site decision maker. Lack of coordination creates overlap conflicts and stalled setups — the most common and most avoidable cause of event delays across Marin County and San Francisco.

Timing and Contingency

Spring calendars compress fast.

Plan setup at least one hour before start time — earlier for large or multi-unit events. Define weather thresholds, backup layouts, and teardown constraints such as noise curfews or pickup limits. North Bay micro-climates — fog at the Presidio, wind in Mill Valley — require real contingency planning. No buffer equals cascading delays.
